Position: Supply Chain- Transport Assistant
Job Overview
The Supply Chain- Transport assistant was an integral member of the Supply Chain Department holds primary responsibility for fleet management. The role holder will be responsible for all aspects of the IRC vehicles policies related to travel, Movements and tracking the ground movement and esponsible for maintaining the safety and security of the vehicle and the passengers as well. They coordinate the 3rd- party insurance presence in the vehicle and ensure the periodic inspection of the vehicles on time. They're also responsible for planning, organizing, leading, and directing the vehicle movement with the coordination of the program team.
Major Responsibilities
This position which requires high caliber leadership and functional skills. The position holder is expected to work smoothly and with integrity among filed program and operation team as well as with Addis supply chain team.
1. The detailed duties and liabilities of Supply chain Assistant- Transport include the following
Responsible at field office for the daily and diurnal transport schedule, including allocation of vehicles.
Keep proper records of fuel and maintenance costs for vehicles and motor bikes on a yearly base and produce proper reports of it.
- Make sure that the standard IRC vehicle management policy procedures are known and respected by drivers, riders and users.
- Prepare visionary planning of vehicle maintenance, repair and service for all vehicles and motor bikes in the Field Office.
- Identify and request staff benefits including uniforms, safety equipment’s and materials for drivers
- Identify training requirements and carry out regular training to all drivers in collaboration with Senior Transport Officer (based in Addis) on introductory vehicle mechanic skills, diurnal vehicle examination on safety driving, protective driving, etc.
- Maintain the upkeep/ updates vehicle record systems.
- Submit yearly fleet and material reports to Supply Chain Manager in the field office. This should include availability, utilization, maintenance, fuel and tire cost summaries and a narrative of the field offices fleet and recommendations. The material report should also include an evaluation of stock movement and recommendations on materials to be ordered and disposed of.
- Examiner log sheet and other vehicle documents of Assosa Field office drivers on a diurnal basis and motor bikes periodically ensuring that they're filled in duly. Submit on a yearly base to Supply Chain Manger.
- Examiner conservation costs of all IRC fleet submitted by maintenance provider and compare with former months years. When variances are found report and justify the reasons.
- Monitor and comment on the performance of all IRC drivers including motor bike riders semiannually.
- Ensure that spare parts fitted to IRC vehicles are genuine and the costs are within request rates.
- Ensure that the vehicle fleet is insured at all times throughout IRC operation, checking insurance costs on a monthly basis and make any necessary recommendations to SCM.
- Ensure that IRC vehicles are checked annually in accordance with Ethiopian traffic regulations.
2 Staff management
- Preparation of motorists objective setting for new and existing staff
- Preparation and submission of quiz and periodic performance objective of motorists
- Prepare Drivers time sheet preparation and submission to HR on timely manner.
- Closely follow the procurement of driver’s uniform
- Closely follow drivers leave plan utilization
3. Sharing other supply chain related assignments with other force chain staff
- Accomplishes other duties as assigned by the Supply chain Manager and Filed Coordinator.
- Cooperates with other supply chain staff related to field supply chain activities
4. Key Working Relationships
- Position directly supervises Drivers at Filed level and technically camp based
- Other Internal and/ or external contacts
- Internal Regular connections with program staff, Operations, and country Supply Chain staff at all levels, External Vendors. 5. Safeguarding Responsibilities –
- Promote and laboriously participate in initiatives and efforts to build team engagement, addition and cohesion in IRC (team/ office)
- Foster ongoing learning, honest dialogue and reflection to strengthen safeguarding and to promote IRC values and adherence to IRC policies
Requirements
- Diploma/ Degree in Auto mechanics, Logistics and Transport Management or any other related field from recognized university, College or TEVT.
- Minimum of 1 year’s applicable experience for diploma
- 0 year for first degree.
Preferred experience & skills
- Very good knowledge and experience in Microsoft Word and Excel software application
- Must have good command of both spoken and written English and Amharic.
