Position 1: Secretary
Required Qualification and Experience
Education BA Diploma in office management, business management, administrate secretary, Secretarial Science, executive service management and technology system or any other field.
Experience 3/ 5 years of applicable experience in analogous/ related positions. Experience in I NGO environment and/ or working in donor-grounded projects is advantageous.

Duties and Responsibilities
Plan & organize the pastoral activities of the chapter and carry out executive functions as required,
Receive and handle visitors, provide applicable information to inquiries, and arrange appointments and meetings or organize workshops as applicable,
Arrange & facilitate venues and logistics required for meetings, other Indigenous meetings, and trainings & workshops organized by the association/ Chapter,
Arranges necessary facilities for meetings to take place at the office,
Handle communications including answering and making calls, typing and composing letters, and memos, registering and distributing incoming/ gregarious correspondences, keeping complete & updating important contacts,
Collect, respond, and dispatch emails from and to the post office and emails timely and appropriate,
Ensure proper management & safe custody of both soft & hard copies of important and nonpublic documents of the Chapter,
Receives letters, memos, messages, and telephone calls and transfers to the separate party,
Keeps the office neat and clean at all times;
Maintains proper records of all incoming and outgoing letters and documents files,
Welcome customers, provide first-hand information to general queries & direct them to chapter coordinators,
Drafts and writes letters and memos and gives replies to general queries as instructed,
Follows up on pending items of the office and informs the situation of the matter,
Prepares requests for purchase of stationary and representation for guests of EMwA – Chapter and distributes stationary materials consequently.
Responsible for keeping office documents, similar to Minutes, and Agreements.
Manage acquisition and retention of members and update members database at the Chapter,
Collects Membership fees following the procedure of the association and deposits it timely to the association’s account as per the procedure stipulated,
Maintains petty cash that operates on a revolving fund system and effects payments for minor expenses;
Perform other duties assigned to him by the immediate supervisor.
Assist the HR department in recruitment and other mortal resource-related tasks. This includes posting job openings, screening resumes, coordinating interviews, and supporting employee onboarding and training initiatives.
Assist with colorful HR executive duties to ensure smooth operations within the department.
Assist the Administrative Director and Deputy Executive Director with arranging, scheduling, and coordinating meetings.

Position 2: Project Manager
Required Qualification and Experience
Education MSc in Midwifery/ BSc in Midwifery, or MSc/ MPH in Maternity, Health Informatics, Project Management, Nursing, and other related studies with a Midwifery background.
Experience 4 years for Master's and 8 years experience for BSc out of which 3 years should be in directorial/ administrative position. Experience in I NGO environment is advantageous.

Duties and Responsibility
Plans, organizes, coordinates, leads, and controls all project implementation initiatives.
Provide specialized support in the design and delivery of RMNCH PPFP and integrated IPPFP at the PHC level.
Provide specialized support in the baseline assessments and analogous constructive assessments,
Facilitate accreditation, certification, and specialized support on training and mentorship interventions,
Provide specialized support in the rollout of training and mentoring interventions formed-level providers,
Provide specialized support for MoH and RHBs in rolling out PPFP and integrated RMNCH training and mentorship to low caseload facilities,
Lead and provide specialized support in the data compendium, analysis, and reporting of data on training and mentorship, service, and related areas at PHC level,
Support the introduction of new contraceptive methods, similar to hormonal IUD in Ethiopia through advocacy, training, and mentorship,
Support the introduction and expansion of the PPH bundle at the PHC level through specialized advocacy, training, and mentorship,
Provide specialized support during the evaluation and documentation of different knowledge management products,
Provide specialized support in the lead institutionalization, sustainability, and transition of IPPFP and other intertwined RMNCH interventions for government ownership and large-scale up.
Demonstrates his/ her ability to be effective in high-pressure situations, handle multiple tasks simultaneously, set priorities and manage/ support staff through process, and work effectively in unshaped and fast-paced work environments
Take full responsibility for the coordination and management of the program's projects.
Responsible for managing program operations and budget management of the program/ projects at all levels in the Association.
Provide specialized support and facilitate the development of Program Collaboration Agreements with donors in collaboration with the MERL department and donors’ specialized persons.
Consolidates reports and timely shares to the EMwA MERL department and consortium lead regularly and when a special need arises.
Assesses the strengths and weaknesses of all program interventions and takes the necessary corrective actions if need be.
Supervises and coordinates project staff/ fellow for their effective and effective implementation.
Organizes regular meetings with MNCH coordinators to assess the progress on how well the interventions are implemented, identify changes faced, and provide immediate results,
Assesses the impacts of each program intervention and takes the necessary action based on the result.
Serves as a link between the top-level management and systems.
Identifies and synthesizes the stylish practices and assignments learned directly linked to program implementations.
Examiner and estimated performance of projects in collaboration with the MERL department
Work closely with consortium members for better implementation and scale-up of the projects.
Provide specialized backing( supervision, coaching, and mentoring) to Indigenous MNCH fellows to deliver the proper implementation of programs.
Create and facilitate smooth relationships with government bureaus( FMOH and RHBs), partners, and other external organizations as needed.
Take part and responsibility for the entire program, preparation of project proposals, monitoring tools, yearly donor reports
Take part in the development of training materials and guidelines.
Attend periodic review meetings both at the public and Indigenous level
Responsible for organizing workshops, trainings, and conferences.
Maintain comprehensive records of conditioning, reports, and baseline data of the project area.
Coordinate timely requests and release of budget to the separate implementing partners for timely implementation of the project from each partner.
Analyze critical and emerging issues in the course of project implementation and give the necessary and applicable responses.
Ensure budgets are properly utilized to the purpose jointly with the finance team as well as the program Manager accordingly on a regular base.
Make sure that the budget utilization complies with donor, organizational, and other requirements and regulations.
Regularly track the budget performance with the finance team,
Make sure that any budget request is prepared in detail and line with the agreement and policy and also the plan in the project document

Prepare project periodic, bi-annual, and daily plans and report
Conduct and participate in common probative supervision of the project implementation area and document the findings for improving results.
Coordinate and collaborate with Organizations/ project teams and ensure timely dispatches and serving of all project-related data.
Ensure that all activities are accomplished maintaining their standard and quality results are delivered.
Ensure that regular monitoring and evaluation of project progress are conducted and findings of stylish practices are documented and fed into the planning process.
Do other activities as per the needs of the organization and guidance from the supervisor.
